Version 1.2 · Effective 6 November 2026 · Replaces version 1.1 of 5 November 2026
These terms explain, in plain language, how farmers use the Easy Chicken App, Ask MamaG, video consultations and the Easy Chicken Shop, and how buyers and support professionals use the Easy Chicken App.
1. About these terms
Easy Chicken Club (Pty) Ltd (“Easy Chicken Club”, “we”, “us”) runs the Easy Chicken App, the Ask MamaG advisor, video consultations, the Easy Chicken Shop, the Live Broiler Map and the web pages that go with them (together, “the Platform”). “You” means the farmer, buyer, support professional or business using the Platform.
We help small-scale commercial broiler farmers keep good records, get practical advice, and buy inputs together at better prices.
By creating an account or using the Platform, you agree to these terms. If you do not agree, please do not use the Platform. Some parts, such as quotations, may have extra conditions. We will show those to you before you accept them.
2. Your account
- Who can join: you must be 18 or older to create an account, and be one of these:
- a farmer: farming poultry, or planning to;
- a buyer: buying chickens from farmers, for yourself or a business;
- a support professional: helping farmers, for example as an extension officer, a vet or a mentor.
When you sign up, you tell us which one you are. You can sign up with your email address or a Google account. Anyone can buy chickens from a farmer and open a receipt a farmer sends them; a buyer account, which keeps your receipts, is for people 18 or older.
- Your details: a farmer needs their farm’s name and country to start. A buyer gives their first name, country and what kind of buyer they are, and can add a business name and WhatsApp number. Keep your details accurate and up to date. Your farm’s name, logo, WhatsApp number and location are shown to other users only if you put your farm on the Live Broiler Map, or send a receipt (section 11A). Your name, surname, age range and gender stay private. A buyer’s details are not shown to farmers.
- Keep your login safe: don’t share your login. You are responsible for what happens on your account. Tell us straight away if you think someone else is using it.
- People who work on your farm: you can invite people to your farm on WhatsApp as an owner, manager, worker or viewer. Workers record flock data but never see finances. Viewers can only read. You are responsible for what the people you invite record, and for removing them when they leave. A farm always has at least one owner.
- Support professionals see a farm’s records only when the farmer invites them, usually as a viewer. The farmer decides whether they see money, and can remove them at any time.
- If you are a support professional, you must keep what you see on a farm confidential. Use it only to help that farmer. Don’t share it, copy it or use it for anyone else, including your employer, another farmer, a buyer, a supplier or a lender, unless the farmer agrees in writing or the law requires it. This still applies after the farmer removes you from their farm, and it applies whoever employs you.
- One farm, real data: don’t create fake accounts or enter information you know is false. You can belong to more than one farm, for example your own and one you manage.
3. What the app gives you
Farm management on the Platform is free. You can:
- record your flocks, chicken houses, feed, weights, losses, temperatures, observations, biosecurity, costs, sales and assets
- see your flock performance: bird age, average weight against targets, feed conversion ratio (FCR), mortality and production costs
- get daily tips, reminders and alerts for each flock
- ask MamaG, our AI poultry advisor, for help at any time
- plan your placements, and request inputs (chicks, feed, vaccines, supplements, disinfectants, litter) and small poultry equipment through coordinated procurement
- show your farm and available chickens on the Live Broiler Map, if you choose to
Some services are only available in some countries, such as vet visits and coordinated procurement. The app shows you only the services available in your farm’s country.
You can record without internet. What you record is saved on your phone and sent to our system by itself when you have signal again. Signing in on a phone for the first time, asking MamaG, the shop and inviting people need signal. If you delete the app or lose your phone before your records are sent, they may be lost.
We may add, change or remove features. If we ever charge for a feature you already use, we will tell you in advance, and you can choose whether to continue.
If you are a buyer, the app is free. You can find farms with chickens on the Live Broiler Map, sort them by distance from where you are, contact farmers on WhatsApp, and keep the receipts farmers send you in Purchases. You don’t record flocks, and Ask MamaG, video calls and the Easy Chicken Shop are for farmers.
4. Your farm records and data
Your records belong to you. You keep the rights to the farm records you enter. You give us permission to store and process them so we can run the Platform for you.
How we use your information:
- To serve you: calculations, alerts, MamaG answers that use your flock data, quotations and deliveries.
- Shared only as needed: we share your name, contact details, location and order details with suppliers and transporters only when they need them to fulfil your order.
- In combined form: we may combine your records with other farmers’ records in a way that does not identify you. We use this for benchmarks (for example, “farmers in your area average X kg at day 35”), forecasting, planning bulk purchases and improving MamaG and the app.
- Your farming profile: your production history can build a verified farming profile. We will only share it with a buyer, insurer or lender if you ask us to or agree first.
Only you and the people you invite to your farm can see your private records, with one exception: Easy Chicken Club’s business owner can open them, read-only, to support you and run the Platform, and each look is logged (Privacy Policy, section 7). Our operations team sees your requests, quotations and payments only to process your orders, and the WhatsApp messages you send us only to answer them.
We handle personal information under the Protection of Personal Information Act (POPIA). You can ask us to see, correct or delete your personal information. If you close your account, we delete or anonymise your personal information. We keep only what the law requires, such as invoices and VAT records. Our Privacy Policy gives the details.
5. MamaG, video calls and farming advice
MamaG is an AI advisor. It gives practical, general guidance on brooding, feeding, water, temperature, biosecurity and common flock problems. It is not a veterinarian and cannot examine your birds.
- MamaG does not diagnose diseases with certainty and does not give medicine doses. For treatments and medicines, speak to a veterinarian or animal health professional.
- AI can make mistakes. Check advice against what you see in your flock, and use your own judgement.
- If a problem is serious or not improving (for example, mortality is rising or many birds are sick), use the next level of support:
- WhatsApp: chat with our team and share photos or videos.
- Video calls with an ECC poultry specialist are coming later, where available in your country. We will add how they work, including recording, to these Terms before they start.
- Vet visit (where available in your country): for high-risk cases, our team helps arrange a vet visit. A vet visit may cost extra; we will tell you the cost first.
- We store your questions and MamaG’s answers. We use them to give you better support, and in combined form without your name to improve MamaG.
A specialist’s advice on a call is general guidance based on what you show and tell them. It is not a veterinary examination.
6. Targets, alerts and calculations are guides
The app compares your flock with reference targets, such as published commercial broiler performance objectives for feed and FCR, weight ranges for open-sided houses, and comfortable temperature ranges by bird age. It also gives recommended input quantities, daily tips and alerts.
- These are management guides, not promises. Results on your farm depend on your chicks, feed, housing, weather, health and management.
- Calculations are only as good as the records you enter. Late, missing or wrong entries give wrong results.
- Recommended order quantities (for example, feed per bird or vaccine vials per 1,000 chicks) are starting points. You can change them before you submit a request, and you decide what to order.
- We do not guarantee any weight, FCR, mortality, profit or sale price.
7. Ordering inputs: requests, quotations and payment
Easy Chicken Club runs coordinated procurement, not a marketplace. We combine requests from many farmers, negotiate with trusted suppliers, and quote you a price. Suppliers do not sell to you directly through the Platform. This section applies where coordinated procurement is available in your farm’s country.
A request is not an order. You can request inputs from the Placement Planner (based on your chick numbers and chicken house) or from the Easy Chicken Shop. The Shop shows no prices. Prices differ by area and change often, so your price is the one in your quotation.
How it works:
- Submit your request. Check products, quantities and the placement or delivery date, then submit.
- We get prices and availability from suppliers near you.
- You get a quotation in the app, and a link by WhatsApp or email. It shows each product, quantity, unit price, delivery, total, payment details and how long the quote is valid. All prices include VAT and are in your farm’s currency.
- Accept or decline. Nothing is confirmed until you accept. If a quotation expires, prices may change.
- Pay by EFT into the bank account on your quotation, using the reference shown. Tap “I’ve paid” and upload proof of payment if asked.
- We confirm your order once the payment shows in our account. Only then do we place orders with suppliers.
- Delivery to your farm on the agreed date.
You can follow each step in the app: Draft, Submitted, Getting prices, Quotation ready, Accepted (or Declined), Payment uploaded, Paid, Ordered from supplier, Delivered, and for chick placements, Chicks arrived. After you submit a request you can’t delete it, but you can ask us to cancel it. A quotation that is not accepted by its valid-until date expires.
Pack sizes and substitutes. We may round quantities to the nearest available pack size, for example 40 kg or 50 kg feed bags. The quotation will show this. We only substitute a product or brand if you agree.
Watch out for fraud. We will never ask you to pay into a different bank account from the one on your quotation. If anyone does, don’t pay, and contact us.
8. Delivery and receiving your inputs
Delivery dates are estimates. Day-old chick dates depend on the hatchery’s schedule. We will tell you as soon as we know of a delay. Delivery charges are shown in your quotation.
When inputs arrive, check them before the driver leaves, or within 24 hours, and record any problem:
| Input | Check and record on arrival |
|---|---|
| Day-old chicks | Count the chicks, note dead-on-arrival and weak chicks, take photos, and record the arrival time. Weigh 10 chicks for the average chick weight. |
| Feed | Check the feed type, number of bags, and damage or wet bags. Store it dry, off the floor and safe from rodents. |
| Vaccines | Check product name, batch number, expiry date and that it arrived cold. Put it in the fridge immediately and do not freeze it unless the label says so. |
| Supplements and disinfectants | Check product, pack size, expiry date and seals. |
| Litter | Check type and quantity, and that it is dry and clean. |
| Equipment | Count the items and check for damage. Test equipment that uses gas or electricity as soon as you can, and install and use it as the manufacturer says. |
Before chicks arrive, you must have: a cleaned and disinfected house, dry litter in place, the house pre-heated, and feed, clean water, drinkers, heating, ventilation and lighting ready. When you order chicks, you confirm your house will be ready on the placement date.
Using animal-health products. Follow the manufacturer’s label and veterinary advice. Don’t vaccinate with chlorinated water. Record each vaccination against the flock in the app.
9. Cancellations, problems and claims
- Before you accept a quotation: you can change or cancel your request at any time, at no cost.
- After you accept, before we place the order with suppliers: contact us and we will cancel and refund in full.
- After we have placed the order: we may not be able to cancel. Day-old chicks, vaccines and special orders are booked for you and usually cannot be cancelled. If a supplier charges us a cancellation fee, we may pass it on. We will tell you the amount first.
- Wrong, short or damaged deliveries: report them within 24 hours for chicks, vaccines and other perishable products, and within 7 days for other products. Send photos, the delivery note and your app records, such as chick counts, losses and house temperatures.
- Day-old chick claims are assessed with the hatchery, based on the evidence you recorded at arrival and in the first days.
- If we confirm a problem, we will replace the product, credit you or refund you. We do not accept returns of opened vaccines or animal-health products, of feed that has been opened or badly stored, or of equipment that has been used or installed, unless it is faulty.
Our Returns Policy gives the details. These terms do not take away any rights you have under the Consumer Protection Act where it applies to you.
10. VAT
All prices in your quotation include VAT, in your farm’s currency. Your quotation shows the price of each line and the total, both including VAT; it does not show the VAT as a separate amount.
Easy Chicken Club is VAT-registered in South Africa. If you think a different VAT rate applies to your purchase, contact us before you accept the quotation. We handle these rare cases one by one, outside the app.
11. Live Broiler Map and your public farm profile
The Live Broiler Map helps buyers find farmers with chickens available.
- Your farm appears on the map only if you tap Show my farm on the Live Broiler Map. You can take it off at any time with Take my farm off the map.
- When it is on, anyone using the map can see your farm name, logo or photo, location, WhatsApp number, and how many chickens are ready now and coming soon. These numbers are worked out from your flock records.
- Buyers contact you directly. Any sale is between you and the buyer. Easy Chicken Club is not part of that sale and is not responsible for payment, price, quality, the birds’ health or delivery between you. This is the same whether the buyer found you on the map or not, and whether or not you send them a receipt.
- Be careful with buyers you don’t know. Agree the price before you hand over birds, and confirm payment has cleared.
- If you are a buyer: agree the price, the number of chickens and how you collect them with the farmer before you pay, and check the chickens when you collect them. The numbers on the map are worked out from the farmer’s own records; they show what a farm expects to have, not a promise to sell to you.
11A. Receipts for sales
- After a sale, a farm’s owner or manager can send the buyer a receipt on WhatsApp. It is a link to a page showing the farm’s name, logo, area and country, its WhatsApp number, the date, the number of chickens, their weight, the amount, and the customer’s name if you typed one. It shows the farm’s exact location and directions only while the farm is on the Live Broiler Map.
- Anyone with the link can open the receipt. Send it only to your buyer.
- If you correct the sale, the receipt changes too. If you delete the sale, the receipt says so.
- A buyer can save the receipt in the Easy Chicken App, to keep track of whom they bought from. Only they see their saved receipts.
- A receipt is a record of a sale between the farmer and the buyer. It is not a tax invoice, and Easy Chicken Club is not part of the sale.
12. Fair use of the app
When using the Platform, you agree not to:
- enter false information, or pretend to be another person or farm
- use the Platform to resell inputs bought at farmer prices
- post offensive, misleading or illegal content in your profile, notes, photos or messages
- try to access other farmers’ data, break the app’s security, or copy the app or its content
- use another farmer’s invite link, or share your farm’s invite link with people who shouldn’t see your farm’s records
- use MamaG, video calls or our staff’s time to harass anyone or for anything unrelated to farming
- record a video call yourself, or share a recording or summary of someone else’s call, without their permission
- sell or offer animals or products on the Live Broiler Map that are sick, stolen or not legal to sell
- send receipts for sales that didn’t happen, or change a sale to mislead a buyer
- as a support professional, share or use a farm’s records for anything other than helping that farmer (section 2)
13. Our responsibility, changes, suspension, law and contact
Our responsibility. We work hard to keep the Platform accurate and available, but farming has risks we cannot control. As far as the law allows, we are not responsible for flock losses, lost profit or decisions you make based on the app, MamaG, a video call, targets or alerts. Where we are responsible for a problem with inputs we supplied, our liability is limited to replacing them or refunding what you paid for them. Nothing here limits liability that the law does not allow us to limit, including under the Consumer Protection Act.
Things outside our control. We are not responsible for delays caused by events we cannot reasonably control, such as disease outbreaks (including bird flu restrictions), supplier or hatchery failures, strikes, load-shedding, floods or road closures. We will keep you informed and offer a new date, a substitute you agree to, or a refund.
Suspension. We may suspend or close an account that breaks these terms, makes false declarations or puts other farmers at risk. We will tell you why, unless the law prevents us. You can close your account at any time from your profile or by contacting us.
Changes to these terms. We may update these terms as the Platform grows. We will tell you in the app at least 14 days before important changes take effect. If you keep using the Platform after that, the new terms apply. Orders already accepted follow the terms in place when you accepted them.
Law and disputes. These terms are governed by the law of the Republic of South Africa. If you have a complaint, contact us first (in the app under Help → Make a complaint, on WhatsApp or by email) and we will try to resolve it within 14 days. If we cannot agree, either of us may refer it to mediation or a South African court.
